School Meeting Preparation

Walk in prepared. Walk out with what your child needs.

The single biggest predictor of how a school meeting goes? Whether the parent walked in prepared. We make sure you do.

If this sounds familiar…

  • There's an IEP meeting next week and you don't know what to expect.
  • Last meeting was overwhelming — you don't want a repeat.
  • You have a list of concerns but don't know how to prioritize.
  • There will be 5+ school staff at the table and just you.

What it looks like in Canadian schools

  • School meetings have a structure — and parents who understand it get better results.
  • A focused agenda, a clear ask, and written follow-up change outcomes.
  • You can request who attends, how long the meeting runs, and what's on the agenda.
  • Documentation in advance dramatically shifts the dynamic.

Your rights as a Canadian parent

  • You can request the meeting agenda in advance.
  • You can bring a support person (advocate, friend, partner).
  • You can take notes (or have your support person take them).
  • You can ask for time to consider — you don't have to decide in the room.

What schools often say — and what it usually means

"We don't usually share the agenda in advance."
You can still request it in writing — and most schools will provide it.

Common questions

How far in advance should we book?+

Ideally 1–2 weeks before the meeting so we have time to review documents, build the ask list, and prep you. We can turn around in 48 hours when needed — book the call as soon as you have a meeting date.

What documents should I send before our prep call?+

The current IEP, the most recent psychoeducational or developmental assessment, the last two report cards, any recent emails from the school about the issue, and the meeting invite/agenda. We'll work with whatever you have — don't wait to gather everything.

Can you attend the school meeting with me?+

Yes — we attend virtual meetings across Canada and in-person where geography allows. Many parents find that a calm, prepared third voice in the room shifts the entire dynamic. Book early so we can hold the meeting time.

What if I don't know what to ask for?+

That's exactly what the prep call is for. We translate your concerns ('he hates school,' 'her grades are dropping,' 'he's exhausted') into specific, IEP-ready asks tied to provincial framework language. You leave with a written ask list to bring to the table.

Do you provide a script for the meeting?+

Yes. You get an opening statement, key asks in priority order, and prepared responses to the most common pushback ('we don't have time,' 'she doesn't qualify,' 'we've tried that'). Most parents tell us this single document changed how the meeting went.

What about the meeting follow-up?+

We draft the post-meeting summary letter that confirms what was agreed in writing — the single biggest factor in whether agreements actually happen. Many families say the follow-up letter is the most valuable part of the service.

How is this different from just bringing a friend?+

A friend offers emotional support, which matters. We bring procedural knowledge, IEP-specific language, and the experience of hundreds of school meetings. Most families do both — bring a partner or friend AND have an advocate prep them.

Do I have to commit to ongoing service?+

No. Most families start with a single strategy call or one meeting. Some come back when the next decision point arrives. There's no retainer or long-term commitment — just the support you need, when you need it.

How much does it cost?+

Pricing depends on scope (prep-only call, document review + prep, or attending the meeting with you). Book a free intro call and we'll give you a clear quote with no pressure to proceed.
